How to register

Welcome to the official European IPF Patient Summit registration page!

Register now through the Summit official platform to ensure your participation for the first European IPF Patient Summit in April 2020. 

Please note that the organiser will reserve the right to close registrations for a certain category of registrants to maintain a balance among participating stakeholders. 

The registration is on a first-come, first-served basis. In addition, we have negotiated rates with the Double Tree by Hilton Hotel & Conference Centre Warsaw. During the registration process you have the opportunity to book a single or double room for one or two nights, breakfast and lunch included. 

Rates & Deadlines

Below you will find a list of categories as well as the associated rates, dependent on the registration deadline.

*Please allow sufficient time for registrations and payments before the deadlines to ensure that the registration is finalised at the desired price.

Group Bookings

If you would like to do a group booking for more than five people, please reach out to the Summit Secretariat (info@euipfsummit.org) for assistance. 

Methods of Payment

Our online registration form only accepts credit card payments. 

  • Please make sure your payment is processed within the published deadlines
  • Unpaid orders are automatically cancelled after each deadline without further notification
  • Please note that once you register, you will receive your ticket via email along with a confirmation of payment. An official EU-IPFF invoice will be sent to you within one month of payment received.

Registration Policies

Cancellation Policy

All cancellations must be notified in writing (by email only) to the Summit Secretariat (info@ipfsummit.org). Cancellation of participation is possible before 1 February 2020. After this date, there will be no refund whatsoever.

Refund Policy

A EUR 50 cancellation penalty per ticket cancelled is applicable to all refunds. Meaning, EU-IPFF will reimburse the registration fee paid minus EUR 50. Please note, that only registration fees are refundable. Accommodation and meals are not refundable.  

Refunds are processed according to the method of payment chosen to pay the registration.

Refund by credit card: make sure that the credit card details are the same as the ones used to settle the online payment

  • All refunds are made within 2 months after the end of the Summit
  • Refunds are not made in case a visa application has been rejected by an embassy/consulate
  • In case of double payment, refund requests must be accompanied by valid proof of such circumstances

Name Change Policy

The cost of a name change is EUR 30

Name Changes are possible until 20 March 2020 only (midnight CEST). Therefore, no name change requests are accepted on-site.

Name changes can be requested by the Registration Owner only. Name changes should be done between delegates of the same registration category. For example, if a Medical Student is substituted by Healthcare Professional, the difference in registration fee must be paid, however, if a Healthcare Professional replaces a Medical Student, the registration fee is not refunded. This applies to all categories.

Passport & Visa

Poland is a member of the European Union and belongs to the Schengen Area.

Please note that all travellers, except for those exempt from visa requirements, should apply for the corresponding visa at the local Polish Embassy or Consulate before leaving their country.

People in possession of a valid residence permit or a valid long-term visa issued by another Schengen Member State, should check the validity of the visa in order to avoid any inconvenience.

If an entry visa is required, please allow sufficient time for the procedure: submit your visa application in person 3 months before you travel to Poland. The process may take longer in certain countries, so we recommend that you contact the nearest Polish Embassy or Consulate to determine your personal case.

Invitation Letter

An invitation letter is provided by the Summit Secretariat to the applicant only upon completion of registration, receipt of payment and upon request (via email: info@euipfsummit.org).

Please note that invitation letter implies no obligation by the Organisers to cover registration fees, accommodation, travel expenses or any other costs connected to participation in the meeting.

Q&A

Are lunches, coffee breaks and/or dinners included in the registration fee?

Coffee breaks are included in the registration fee. If you would like to order lunch on Day 2 or Day 3 of the Summit, please ensure you register for this during the Registration Process. There will be an optional dinner on the first day, sponsored by EU-IPFF. Additional dinners are not provided. 

Can I cancel my registration?

Yes, you can cancel your registration by the published deadline for a penalty of EUR 50. Please submit your request by email info@euipfsummit.org

Can I make a name change to my registration?

Yes. Name changes for Individuals and possible and are charged EUR 30 per person and are only possible until 20 March 2020. Please submit your request by email to the Summit Secretariat at info@euipfsummit.org

Can I pay by bank transfer?

No, we only accept credit card payment. For more information click here.

What credit cards do you accept?

All major credit card companies are accepted, including: Visa, Mastercard, American Express, Discover, Diners Club, JCB 

Can I do group bookings?

Yes, you can do group bookings. If you would like to book for more than 5 people please contact the Summit Secretariat under info@euipfsummit.org

Can I register more than one person?

The registration form only allows one registration at a time. However, you may do the process more than once to register more than one person.

How do I know if I am registered correctly?

Registrations are considered finalised only upon completion of registration, receipt of payment and all required documents (when needed). Registration paid by credit card: a notification email along with a QR coded voucher and invoice is automatically sent by the registration system upon successful payment of the registration.

Where can I request a Letter of Invitation?
